Position: Event Coordinator 

Reports To: Executive Director

Status: Part Time (Seasonal variability,10-30 hours per week; see description), $25-$28/hr

The Camron-Stanford House seeks a part-time Event Coordinator for its private and public event programs.

The Event Coordinator will serve as the primary point of contact for private event clients. The Event Coordinator is responsible for scheduling tours with prospective clients, communicating rental guidelines, and overseeing venue contracts from beginning to end. The event coordinator will be on site during private events from set-up through tear-down, managing security and event support staff as needed. 

The Event Coordinator will also work in partnership with the Executive Director and other museum staff to plan and support on-site public events.

Note: This is a part-time position that is heavily weighted in the Summer/Fall. The Event Coordinator should anticipate approximately 10 hours of administrative work per week (on-site and virtual hours possible) throughout the year, plus 12-15 additional hours of event work per week during the regular event season (May-October). 

EXAMPLES OF DUTIES 

  • Schedule venue tours for prospective clients

  • Serve as main point of contact for clients, vendors, and event guests

  • Coordinate events calendar and communicate information to museum staff as needed

  • Assist with developing event layouts and schedules 

  • Monitor pre-event set up by event vendors including caterers, production companies, entertainment, etc. 

  • Coordinate and assist with set-up and breakdown of event furniture

  • Understand and stay updated about museum guidelines regarding use of facilities, exhibit schedule, guest safety protocols, and ensure vendors and guest compliance with these guidelines

  • Monitor load-out, oversee cleanup after the event has ended. 

  • Help develop and plan public events that support the museum’s mission and goals. 

  • Assist with developing marketing plans for increasing private rental bookings

QUALIFICATIONS 

  • Excellent problem-solving skills; ability to demonstrate sound judgment; work well under pressure; successfully handle multiple conflicting priorities. 

  • Ability to give instructions and direction to others; interpret and explain museum policies and procedures.

  • Comfortable working independently 

  • Punctual, dependable and conscientious; reliable and trustworthy; detail-oriented.

  • Must be available to work Saturdays from mid May - early October. Private events often run 8-12 hours, often late into the evening.

  • Flexible schedule during the rest of the year with occasional weekend and evening shifts required to support museum public events. 

  • Knowledge of wedding and event industry trends and best practices; awareness of local market trends. 

  • Spanish proficiency is helpful. 

  • Experience using Google software collaboratively (including Google Drive, Calendar, Sheets, and Pages) is preferred. 

  • Experience using social media as an engagement and advertising tool is helpful

  • Previous event management experience required.

COMPENSATION

Hourly, $25-$28/hour

ABOUT THE CAMRON-STANFORD HOUSE 

The Camron-Stanford House is an historic house museum and event venue located on Lake Merritt in downtown Oakland. It is the last of the beautiful 19th century mansions that once surrounded Lake Merritt, and was the home to five influential families before becoming the first museum in the City of Oakland. The restored home helps visitors time travel to the 1880s and enter meticulously recreated living spaces. In addition, the house presents various exhibits throughout the year that focus on aspects of Victorian life and culture. 

The site is not fully ADA accessible. This position requires the ability to use stairs and lifting of objects up to 50lbs.
